PROPERTY AND/OR CONVEYANCING EXPERIENCE ESSENTIAL.

We are a fast-growing organisation consisting of multiple businesses. We are a Block and Estate Management Agency based in Manchester, with properties reaching from Glasgow to Birmingham, and from Liverpool to Newcastle and Nottingham.

We are looking for a reliable and customer focused Estates Coordinator to join our Property Management team. You would be responsible for supporting the Property Management team in their day to day tasks, taking the role of first point of contact for customers, contractors, leaseholders and tenants, dealing with any queries they might have as well as organising work, managing phone calls, emails, orders and invoices. A background in Property and/or Conveyancing as well as property sales is a requirement and having strong organisation, communication and administrative skills are essential.

This is an exciting role for someone who is wanting to learn and is focused on growing their career, as the Company grows with the potential to work towards managing your own team of Estates Coordinators and Property Assistants in the future.

Key Responsibilities / Accountabilities
- Managing the incoming emails in the management inbox
- Dealing with conveyancing matters, eg: responding to standard leasehold enquiries (LPE1), transfers, re-mortgages, probates. Responding to additional enquiries. Keeping records of all ongoing transactions. Dealing with post completion requirements such as receipting notices, issuing certificates of compliances etc.
- Handling incoming and outgoing customer telephone calls
- Liaise with leaseholders and tenants, answering queries they may have
- Handling Service Charge and Building Management enquiries
- Arranging posting of letters, mail-merge documents and email messages
- Monitor all activities relating to the sites, reporting to Property Managers
- Assist with maintaining records and reporting across Property Management functions

Knowledge and Experience
- Previous experience Conveyancing (solicitors or managing agent)
- An awareness of current Fire and Health and Safety requirements
- Strong understanding of the legal requirements of property management
- Property Management experience beneficial but not essential
- Knowledge and use of industry/specific IT applications such as Qube PM (ECS), Riskwise or Prop-man

Key Skills
- Computer literate with skills in Word, Excel and other Microsoft products
- Confident and capable communicator, by phone, email and in person
- Able to plan and manage own workload, an excellent administrator
- Punctual timekeeping and attendance
- A team player that can take initiative and think outside the box to find solutions
