This leading specialist in the design and manufacture of Mechanical Seals and Support Systems is looking for an Administrator.
You will work as part of a dedicated team and will be the first point of contact for a portfolio of customers, providing them with first class customer service at all times. Within the role you will be:
- First point of contact for telephone calls, redirect calls to relevant person and taking messages and dealing with visitors face to face presenting a professional environment at all times.
- Dealing with customer enquiries, compiling prices and stock availability
- Raising quotations as requested by sales engineers and send to customers
- Updating quote register and follow up on quotations sent
- Updating Daily UPS sheet and forward tracking number to relevant customers
- Raising purchase orders and place with supplier on approval
- Updating credit note analysis and coordinating with different departments
- Processing customer leads sent from Head Office
- Carrying out invoice run at the end of the day
- Resolving invoicing queries both external and internal
- Scanning purchase orders / signed delivery notes where required
- Ordering office supplies
- Assisting with stock taking as required
- Providing general office support to Sales Administrators
- Actively participate in ensuring company performance measures are met, in particular those related to service levels
It is essential you have:
- GCSE Grade C+ in Maths and English (or equivalent)
- Excellent interpersonal skills and communicator, both written and oral
- Exceptional and professional telephone manner
- Ability to work under pressure and to tight timescales
- Competent in the use of MS Office packages. Excel critical
- Experience of working in an office environment, conducting administration duties
- Experience within a customer facing role
It would be desirable to have the following, although not essential:
- NVQ Level 2 in Business Administration
- Working knowledge of export
