The Position:

They now have an exciting opportunity for a highly motivated Tour Manager Administrator to join their team on a part time basis (Thursday and Friday/ 15 hours per week) who will have the opportunity to work in an award winning and highly customer centric business in the heart of York’s city centre. Reporting to the Head of Tour Management, some of the activities that you will be responsible for include:

- Taking ownership for, and undertaking, administration duties within the Tour Manager (TM) Management Team with key accountability for processing invoices organising workshops and events, recruitment, hotel and UK rail bookings as well as TM quality.
- Check, process and validate invoices. Maintain accurate and up to date financial records
- Communicating with all colleagues, suppliers, tour managers etc. in an effective and efficient manner to ensure the Company products and services are delivered at the highest standard.
- Assisting in the development and enhancement of company practices and processes with regards to the provision of service to the customer, by identifying areas and opportunities for improvements.
- Monitoring and managing Tour Manager quality results. Investigating low scores and feedback with appropriate actions.
- Responsible for the administration of TM recruitment including participating in interviews.
- Updating and maintaining the guidelines and manuals, maintaining TM Personnel files, maintaining spreadsheets and performance statistics.
- Managing enquiries from internal and external customers.
- Booking and amending TM accommodation as required liaising with their suppliers.

Attributes:

- Proven experience of working in a customer focused environment.
- Able to work under pressure to meet deadlines with strong attention to detail and accuracy.
- Excellent IT skills, including keyboard skills and Microsoft packages.
- Excellent verbal and written communication skills with a professional and clear telephone manner.
- Confident self-starter who is able to work in a fast moving environment.
- Previous work experience in a holiday travel environment would be an advantage.
