A leading building services consultancy requires a full time Secretary / Admin Support to work as a general administrator and support for engineers in their Exeter office at Pynes Hill. The ideal candidate would be a self-starter, have fast, accurate typing skills, good organizational abilities, strong written and oral skills and experience in using MS Word, Excel, Powerpoint, Outlook and Indesign.

To apply for this role, you should meet the following criteria:
- Relevant training or qualifications
- Knowledge and experience of relevant software applications, spreadsheets, word processing and database management
- Experience of administrative and clerical procedures
- Proficient in spelling, punctuation, grammar and ability to write well-presented documents in good English
- Proven experience in producing correspondence and technical documents
- Strong interpersonal and verbal communication skills
- Good organisational and time management skills
- Team working essential

The job role will include the following:
- Day to day office tasks to ensure the appropriate level and standard of service is maintained
- Reception duties including greeting visitors, organizing and maintaining meetings, answering and transferring calls
- Administrative support with business development and marketing
- Using various computer packages to produce eye catching reports, specifications and general correspondence
- Responding to pre-qualifications questionnaires (PQQ’s) and bid quotations to ensure deadlines are met
- Respond to all supplier/sub contractor enquires and assist with tender submissions
- Responsible for office H&S administration
- Preparation of quotation letters
- Credit control when required, chasing debt via telephone, letter and email.
- General administrative duties: filing, ordering office supplies, organizing training and seminars, booking travel and accommodation, scanning and printing various documents, sorting incoming post and sending outgoing post.
- Drawing control
- Attending internal meetings, taking minutes and keeping notes
- Liaising with staff in other offices and with external contacts

Working in a friendly environment you will perform a wide range of administrative and office support activities for the directors and engineers to facilitate the efficient operation of the organisation.
