Personal Assistant to Director (Part-Time)

Reporting to:
Managing Director

Responsible for:
General and administrative support to the MD

Key Relationships:
Finance, Supply Chain, Customers & Sales Managers/Executives.

This company is a leading distributor of Afro Hair Care products in the UK/Europe.

Overview of Role:
The Personal Assistant will work closely with the MD to enable him to become more effective and efficient in his role, by providing key administrative and logistical support

Key Responsibilities:

- Preparation of documents, reports and presentations and drafting/writing letters on behalf of the MD
- Booking travel and accommodation
- Dealing with incoming email and post, and screening telephone calls when necessary.
- Dealing with correspondence and drafting/writing letters on behalf of the MD
- Organising and filing paperwork, documents and computer-based information. Managing and reviewing filing and office systems
- Diary and email management for MD – including scheduling of appointments, meetings, etc.
- Organising meetings - compiling agenda points and ensuring adequate refreshments available.
- Liaise with internal staff, customers and suppliers/contractors
- keeping an eye on stock and ordering stationery and promotional items when required
- Meeting and greeting external visitors at all levels of seniority
- Renewing Trademarks
- Assist with the input of content for trade brochures and liaising with designers/translators in creating instruction leaflets and magazine adverts in different languages
- Ensuring the smooth running of a small but busy office and assisting MD with Ad-hoc duties
- Dealing with some of the Directors personal work.
- Working on Outlook, Word, Excel & PowerPoint
Person Specification:

Polite, friendly, confident, able to work as part of a team and also on own initiative and a good telephone manner. In addition, needs to show leadership and day to day management of daily working tasks. Good people skills, literate and the ability to work under pressure, must be enthusiastic and have positive outlook.

25 Hours per week
£11-£12 per hour
