This security software company provides industry-leading, award-winning software to a range of notable organisations such as MasterCard, HM Government and the American Air Force.

The Role

Joining a small administration team and reporting to the Operational MD, this role has been introduced to cover the Executive PA’s maternity leave until June 2017. During this period, this highly professional PA will provide a comprehensive support service to the Leadership Team and the wider business. After June, this person will report to the Executive PA and will become the PA to the Directors.

The role will empower both Directors to focus their attention on the business strategy and will be pivotal in relieving their excessive workloads, by funnelling information and improving the flow of their work day. This role requires a reliable, adaptable and resilient person with exceptional organisation and communication skills. They will also have a can-do attitude, be proactive and resourceful with the ability to work to tight deadlines and deputise when required. A significant part of the role will also be general business administration and front of house duties on an ad hoc basis, “mucking in” to ensure the reception area and main phone line is covered when necessary.

Responsibilities include but are not limited to:

- Facilities management and project management
- Gatekeeping and diary management
- Liaising with management, associates, clients etc on behalf of the Directors
- Preparing correspondence on behalf of the Directors
- Briefing Directors on their diary, meetings, clients etc
- Attending meetings with the Directors and writing minutes
- Booking and co-ordinating travel and accommodation
- Cover for Receptionist when necessary

The Person

Essential:

- Exceptional time management and prioritisation skills
- Excellent attention to detail and accuracy
- High personal standards of work and diligence
- Ability to manage confidential, sensitive and high profile situations
- Calm, level-headed and objective manner

Desired:

- Advanced proficiency in MS office (particularly Outlook, Powerpoint and Excel)
- Experience in a similar role
- Experience in complex documentation and spreadsheet analysis
