This medical practice provides services for 16,400 patients across 3 locations in Keighley and is seeking a dynamic Office Manager to over see the running of three practices. It is a friendly, supportive team with clear ethos and values.

This is a unique opportunity to implement new processes giving you the chance to participate in shaping the office operations across the three locations making a significant difference in the smooth running of the business as well as business planning for future growth.

Reporting directly to the Partners and Practice Manager you will have a very hands on approach with the ability to manage and motivate the teams across the business.

The job role is 30 hrs per week.

Responsibilities:

- Responsible for the day to day operations of 3 practices
- Responsible for all staff related planning and management (including rota’s, overtime, leave of absence, locums, out of hours), ensuring this is communicated to relevant members of the management team
- Developing a high performing team by monitoring and evaluate the performance of the Practice team, identify and manage change.
- Support the resolution of complaints
- Support the implementation of policy & procedures
- Work collaboratively with other members of the Practice Team to positively support the patients’ experience
- Actively participate in the health promotion services offered by the Practice
- Manage daily running of and plan future surgeries and clinics to ensure Practice appointment systems afford access to patients
- Coordinates the allocation of work to reception staff/secretaries.
- Daily management of IT systems
- Implement staff training & development plans, assist with compliance of job descriptions, and evaluate staff performance/coaching/disciplining staff.
- Liaise with Domestic Staff as appropriate
- Responsible for ensuring working procedures within Reception are carried out
- Ensure Business Manager/ Practice Manager is made aware of and kept informed on all relevant matters
- Monitor supplies
- General office administration (devise and maintain information literature and notices, design & implement office policies, maintaining a clean safe environment)
- Assist Practice Manager when required
- Responsible for improving the Practice business and patient centred care.

Requirements:
- Educated to diploma level or equivalent managerial experience
- Experience in the Healthcare sector, particularly in dealing with patients
- Experience of managing a team
- Good understanding of System One, HSCIC, Open Exeter, SharePoint.
- Use of Microsoft Office applications, spreadsheets and data manipulation.
- Experience of managing projects
- Experience of dealing with complaints
- Familiar with employment law and Health & Safety law and legislation
- Experience of Care ID and administering smart cards
