Mechanical Contractor based in Kent and London is looking for someone to join their Service Team in the role of a Office Administrator, this is a varied role and will be to provide support to the service team along with other secretarial duties.

The role will be based from their head office in Sittingbourne, Kent. Free Parking is available onsite.

Main responsibilities will include:
- Take incoming works from clients, log the information onto our internal management system and arrange appropriate attendance from the engineers, the Office Administrator is responsible in seeing the job through until the end, ensuring all the appropriate details/ information is relayed back to the client
- If parts are required, liaise with their procurement team to obtain costs and lead in times for materials, all works are quoted and agreed by the client prior to materials being ordered
- Working with the Director’s in raising quotations for works and sales invoices
- Ensuring their job planner/ tracker is updated daily to ensure all information is correct and accurate
- Sending engineers job information, including addresses, contact details and description of
work and any parts required
- General office filling, archiving, typing, drafting, and answering phone calls
- Taking messages, handling business correspondence
- Scanning, printing and copying documents and transferring calls
- Greeting walk-in guests, scheduling of appointments, answer emails, and may perform the
duties of a receptionist
- Reporting to the Company Director’s

Other Duties:
- Labour allocations and adding costs to service works/ projects on our internal management system
- Dealing with sales invoice queries
- Work in collaboration with procurement team
- Assisting in the organisation of company events and annual parties
- Ordering office supplies and stationery
- Coordinating with contracts managers and staff in arranging meetings
- Maybe a requirement to deal with out of hours telephone calls

About the Person:
- Need excellent organisational and communication skills
- Have experience working within a call centre/ office environment
- To be able to work both on their own and as part of a team
- Good initiative and can work under pressure without compromising on standards and quality
- Microsoft Office applications and PC skills
- Written, telephone and electronic communication
