This is an opportunity to join a large commercial Architectural Practice who are looking to recruit a Key Account Secretary.

REQUIREMENTS
- 5 GCSE’s at grade A* - C (or equivalent)

PURPOSE
The role is to assist the Directors, Associate Directors and technical team with the delivery of services in support of a key account, to reduce/ease pressure of workload, reduce/eliminate Directors involvement in organisational elements, to be pro-active, reactive and to follow up all issues that arise to their conclusions.

Be a point of reference for all queries and requests, working closely and form strong relationships with key stakeholders within the account, in order to become the first point of contact. Acting as a co-ordinator for the team and taking ownership on financial and administrative matters.

To show an awareness when working with confidential information, ensuring that discretion is always exercised especially when dealing with sensitive correspondence and situations.

MAIN DUTIES AND RESPONSIBILITIES
- The delivery of services in support of a key account.
- To be proactive in supporting the Director and Associates in all aspects of their role.
- Free Director’s/Associates time from organising and administrative tasks.
- Reminding the Director/Associates of important tasks and deadlines.
- Acting as a first point of contact: dealing with correspondence and phone calls.
- Managing diaries, organising meetings and co-ordinating/collating all relevant paperwork.
- Booking and arranging travel, transport and accommodation.
- Assist with the financial management of the team and ensure relevant systems are kept up to date.
- Promote positive client relations and manage client expectations (both internally and externally).
- Complete the required administration for contracts.
- Ensures relevant information is circulated/distributed to relevant parties on behalf of the Director.
- Able to use own initiative, be one step ahead, with a can-do attitude.
- Demonstrates discretion and diplomacy.

- Ability to work well with all levels of the leadership team and employees, both internal and external.
- Strong financial awareness around team matters
- Excellent knowledge of Microsoft Office (particularly Word and Excel)

KNOWLEDGE
- Admin experience, particularly within an Architecture practice would be advantageous
- Experience of working in a busy admin/secretarial role

This is a full time position, Monday to Friday 9.00am – 5.00pm with a 1 hour lunch.
