This is an opportunity to join an award winning central London conference centre, event and wedding venue in Westminster. Set in a magnificent Grade II listed, four-domed, Edwardian building we have 21 rooms offering flexible spaces for a range of events.

As Events Operations Coordinator, you will provide support to events operations staff with the administration of events to ensure a positive delegate experience. Events will include conferences, lectures, seminars, corporate functions, meetings and other ad hoc events with up to several hundred attendees. You will be managing the operational requirements of a small portfolio of events (seminars, lectures and Webinars) whilst keeping within the agreed budget, to ensure their delivery of its events is of the best quality.

Actions and responsibilities:

- To provide support to a variety of events including meetings, lectures and conferences
- To register, support and provide excellent customer service to delegates and other customers
- To manage phone and email queries to the central events inbox, ensuring that all queries are answered within 48 hours
- Supply pre-event communication and meeting reminders to delegates
- Work with colleagues to create specific guest lists and ensure that relevant people receive invitations to events
- Communicate with authors regarding presentations and AV requirements where necessary to ensure the smooth running of events
- Support sales to manage the delivery of sponsorship contracts, liaising with sponsors to ensure that pre event information is provided, exhibition materials are received, and assist sponsors on the day to ensure their needs are met
- Manage a small portfolio of events which will include: Venue liaison and briefing, sourcing suppliers, budget management, speaker liaison, delegate management, attending events, and managing all operational aspects on the day of the event
- Communicate with internal & external stakeholders to identify new opportunities and strategies
- Maintain the events calendar for the year, ensuring venue bookings are confirmed where appropriate
- Processing registration fees to ensure that delegates are confirmed and booked on events

The ideal candidate will have a passion for events management and will see this as an entry level role for this career path. The candidate should also have excellent customer service and communication skills, good attention to detail, and be adept at handling high pressure situations. Strong organisational and negotiation skills as well as an eagerness to improve output and processes where possible will enable you to excel in this role. Ideally you will also have experience or exposure to an events environment. The successful candidate will be educated to degree level or equivalent.
