Duties:

1. Managing and monitoring in-house travels
- Booking all travels of employees (including trains, flights, etc.)
- Track all travel expenses in the organization (budget, details per department, etc.)
- Maintain relationships with hotels, including create and initiate new business relationships
- Responsible for all communication with car hiring, travel agencies, hotels, etc. (Including meetings and events).

2. Service providers and suppliers
- Responsible for Insurance (including yearly building insurance, employee liability insurance, airport liability insurance for official vehicles, etc.)
- Heathrow: managing all communication with officials (Including: ID passes, vehicles passes and temporary ID passes).
- Law firm: correspondence with the organisation's lawyers regarding ongoing issues and/or special projects.
- Maintain relationships with management agencies (Including road management agency, building management agencies, etc.)
- Managing infrastructure and other bills (Including EDF, Sky, etc.)
- Ongoing communication with Relocation companies for new and leaving employees.

3. Events and visits
- Dealing with ongoing delegations (Administrative aspects)
- Help in arranging administrative procedures for events within and outside the organisation.
- Providing aid in official visits

4. Misc. Projects and responsibilities
- Responsibility on all official documents of the organisation (Including proof of employment, Bank letters, referrals for different companies, etc.)
- Managing all affairs with the local authority and officials on several projects
- Maintaining contact list
- Helping with all other ongoing projects and daily tasks presented by the Chief Administration Officer.

Skills:
- Proven experience in administrative positions - must
- Fluent written and spoken English – must
- University degree - must
- Strong organisational skills and multi-tasking
- A proactive and independent person
- A team player, with excellent inter-personal relationship skills
- Attention to details, problem solving skills and excellent time management skills
- Proficiency in Office programs (Word, Excel, PowerPoint)

Additional information:
- Must have a work permit / UK visa (Valid for at least 2 years)
- No fixed term – 2 years minimum
- Full time post
